Our manufacturing client are looking for a Receptionist/Administrator (Part-Time/Job Share) to act as their professional front of house within their successful business.
You will need to have previous experience as a receptionist and strong administration skills to be able to provide general administration support to different managers across the site.
This is not essential but a candidate who has done administration within a factory environment is desirable. You will be dealing with workshop employees and external contractors on the shop floor, typically with queries about safety clothing and timesheet queries, so you must have discretion to be able to work with some of the HR projects.
The role is part-time of 18 hours per week with occasional hours as requested.
You will be daily running of reception, answering switchboard, managing incoming and outgoing post, operating the franking machine.
You will be organising meeting room bookings, ensuring meeting rooms are clean, tidy and stocked
with provisions as required and co-ordinate of hospitality.
 
Organising administration of visitors, contractors, signing in and welcoming new employees.
Responsible for ‘first impressions’ of the front of site, reporting issues such as condition of flags, and signage and litter to the relevant manager.
General administration for the site, e.g. invoice queries, uniform ordering, eye-test
vouchers, maintaining notice boards.
Assisting senior management with cars, travel, refreshments as and when required.
Support to HR Manager with administration needs when required.
Assisting site managers when required.
Liaising with Catering and Cleaning on site contract managers.
Administration of travel bookings and queries for staff.
Ordering and maintaining stationery stock.
Assisting Operations with general enquiries and routing enquiries to relevant
departments.
Arranging access fobs for TMS Clocking in System.
Support with ad-hoc requests, often at short notice.
Support of site initiatives, including ad-hoc support to shifts (where required)
The ideal candidate will have previous experience in a Receptionist, Central Administration or front-facing Customer Service role is essential.
You will have flexible approach and the ability to prioritise workload to achieve deadlines, be a strong team player and possess excellent organisation skills.
You will have excellent verbal and written communication skills with high level of accuracy and ability to deliver high level of customer service.
